§1. General provisions
  1. Throughout the Congress, the Organizer provides for scientific sessions enabling doctors and scientific employees to present their scientific works in accordance with the subject of the Congress in a poster form, i.e. by preparing a poster in the form indicated by the Organizer, and briefly discussing the poster that presents the work.
  2. The Organizer decides on the acceptance of work for the presentation and the form and time of its presentation.
  3. The works are submitted free of charge. After the submission, the work is sent for review, and following its positive verification, it is qualified for presentation during the Congress.
  4. Each of the authors of a given work:
    1. grants consent to printing or other type of publication of the submitted abstract in materials published for the needs of the Congress and thus consents to the publication of the names and affiliations of the authors,
    2. acknowledges that their scientific abstract will be published and presented at the Congress without remuneration for the authors, including without remuneration for the presenter,
    3. confirms that all authors of the abstract agree with the content and conclusions presented in the reported abstract, and that it is original work and does not infringe the copyrights of third parties.
  5. By submitting the abstract, the submitting person confirms their consent and acknowledgement of the relevant regulations indicated in section 4 by all authors, and shall bear full legal and financial responsibility for the lack of consent or failure to notify any of the authors.
  6. The editors and publishers of materials published for the needs of the Congress will not be held responsible for the correctness of personal data sent by the authors, the names of affiliated institutions and abstracts.
§2. Submission of abstracts and rules of their qualification for presentation during the Congress
  1. Only abstracts submitted in electronic form via the form available at www.3kongreschmi.syskonf.pl/abstrakty by 15 July 2022  15 August 2022 will be reviewed.
  2. The abstracts will be evaluated by Reviewers appointed by the Organizer from among experts in the field of surgery.
  3. Within 7 days from the date of submission of abstract, but not later than 15.07.2022 15.08.2022, it will be possible to correct or amend it and resubmit a new version of it.
  4. The final decision to accept the abstract and qualify it for poster presentation is taken by the Organizing Committee at its sole discretion. When adopting its decision, the Committee shall be guided both by the preferences of the person submitting the abstract and by organisational considerations. This decision will be sent to the person submitting the abstract electronically – to the e-mail indicated during the submission of the abstract.
  5. The list of qualified works and their authors will be published on 1 September 2022 on the Conference website: www.kongreschmi.pl in the Abstracts tab along with the necessary technical and logistic information regarding their presentation.
  6. Registration of at least the author indicated as presenting the work for the Congress is a precondition for the work's presentation.
  7. The author/authors are obliged to pay the fee in accordance with the applicable price list.
  8. The best 3 works will be awarded with vouchers for the amount of PLN 300 each for the purchase of products available at www.czelej.com.pl.
§3. Technical and structural requirements
  1. The submitted abstract must meet the following technical requirements for the prepared and sent material:
    1. language: English,
    2. maximum word count of the abstract: 250.
  2. The submitted abstract should contain the following elements presented in the above-mentioned order:
    1. title of the abstract,
    2. author's list,
    3. presenting author,
    4. content of the abstract. As a standard, the relevant content of the abstract should contain the following sections: INTRODUCTION, OBJECTIVE OF THE WORK, MATERIAL, METHODS, RESULTS, CONCLUSIONS,
    5. keywords - up to 3 keywords,
    6. information about the conflict of interests of the author/authors - please provide the information in the: Comment/remarks field.
§4. Information regarding the processing of personal data
  1. The Organizer and the Organizational Office are the Controllers of Your personal data.
  2. Consent to the processing of your personal data is required for the successful submission and registration of the abstract and the subsequent handling of the review and presentation of the work.
  3. Pursuant to art. 13 of the Regulation of the European Parliament and of the Council (EU) 2016/679 of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46 / EC (hereinafter referred to as: GDPR) we inform You about principles of use of Your data.
  4. The Organizer and the Organizational Office of the Congress processes Your data for the following purposes:
    1. technical and logistical purposes, enabling the submission and presentation of the abstract,
    2. establishing contact with the person submitting the abstract in situations related to the qualification or presentation of work requires their feedback,
    3. reviewing and qualifying the abstract for an appropriate presentation during the Congress,
    4. correspondence with the person submitting the abstract in order to notify about its status, or in case of doubts or a reviewers' request for clarification of the abstract,
    5. in case of qualifying the abstract for presentation in order to enable presentation of the work and publication of the work in conference materials (applies to the names, surnames and affiliations of the authors),
    6. provision of technical assistance services,
    7. publication of the content on the Congress website.
  5. Your data in the Abstract Submission System will be processed until the end of the period of claims related to the Congress or until your consent to processing is withdrawn – but no case longer than 12 months from the end of the Congress. And in the absence of claims by the end of the complaint period – i.e. 7 days after the end of the Congress.
  6. If a submission is qualified for presentation and appropriate publications appear, it will no longer be possible to delete the work, change or delete the names and affiliations of authors from all resources.
  7. 7. You have the following rights in connection with the processing of Your personal data by the Organizer and the Organizational Office, for the above-mentioned purposes:
    1. the right to access and correct data,
    2. the right to rectify data,
    3. the right to demand the deletion of data ("the right to be forgotten"),
    4. the right to limit processing,
    5. the right to transfer data,
    6. the right to object to the processing of your personal data.
  8. Each data subject also has the right to lodge a complaint with the supervisory authority (the President of the Polish Office for Personal Data Protection) shall they believe that the processing of personal data concerning them violates applicable regulations.
  9. Each of the operations listed in point 7 is always possible by simultaneous contact with persons supervising data processing:
    1. at the Organizational Office: chmi@czelej.com.pl,
    2. at the Organizer.
  10. The Organizational Office and the Organizer inform that they apply appropriate measures in accordance with the GDPR ensuring the appropriate level of security of your data, including:
    1. basing all forms on a secure communication encryption protocol (SSL),
    2. access to personal data is controlled, limited only to authorized persons working on the basis of contracts provided for by law for the Organizer or the Organizational Office.
  11. The person submitting the abstract is obliged to inform all authors of the work about the content of these regulations, including the rules for the processing of their data presented in the present paragraph.
§5. Complaints
  1. All complaints concerning the results of the qualification should be submitted in written form, by e-mail or recorded delivery letter to the address of the Organizational Office of the Congress within 7 days of receiving the result of the qualification of the abstract, up to 7 days from the end of the Congress. Complaints lodged after the aforesaid deadline will not be considered.
  2. The complaint will be considered within 14 days of its receipt. The participant will be notified about the status of the complaint by e-mail to the address provided in the paper application.
§6. Final provisions
  1. All matters that were not covered by the present Terms and Conditions shall be governed by the provisions of the Polish Civil Code.
  2. Any disputes that may arise in connection with the participation in the Congress will be settled by the court competent for the registered office of the Organizer or the Organizing Office (depending on which party is involved in the dispute).
